This includes our extensive template with 31 questions, which have been divided into 8 sub-categories and covers selected relevant fields, some of which you may choose to focus your selected scope on. We have in the multiple-choice questions provided pre-selected options for answers which you may choose to utilize for inspiration.

We have in this file furthermore provided you with examples of our MS Forms template to provide you with inspiration to how such a set up may look, and finally provided a visual of each MS Power Bi dashboards corresponding with the template questionnaire sub-categories. We can also send you a virtual link to create your own MS Form online, within your own company Microsoft tenant/environment directly based on Destrac’ s standard template.

All of our solutions are based upon standard MS software, which we adjust to fit the needs of our clients. We believe in simple and efficient solutions, which allows our clients to take control and steer the projects themselves with our support.

Collect data in a structured way

When setting up your questionnaire you can use any of the 31 questions we are offering, however we advise you to keep the questionnaire at a maximum of 20 questions to ensure a focused scope and fast time to complete. You will further find an example of an introduction to your questionnaire which explains to your organization why you want to address shadow IT applications and components.

We suggest that you use MS Forms to set up your questionnaire. Our questionnaire is built on standard MS forms with integrated question logic and can therefore be integrated with both SharePoint and MS Power Automate to automate your data capture. You are also welcome to use our MS Forms template if your organization allows you access. You will find a direct link to download our template with the file.

Use interactive features to identify your potential

The questions are distributed within 8 total categories, and correspondingly we advise to have a dashboard connected to each chosen section containing the relevant questions/ visuals as well as a dashboard with a full overview. We use Microsoft Power BI for all our dashboards which provides the option to use the visuals to deep dive into valuable findings. The visuals furthermore make the results interactive and relevant for all stakeholders. We set up a selector feature to filter results according to Unit & Sub-Unit which are the most frequent benchmark measures for collaborative organizations. Below you will find examples from the catalogue of our Power Bi visuals for this Shadow IT template. In the template, we will provide you with static visual examples of the solution for inspirational purposes only, allowing you to build your Power Bi solution yourself.
